Yes, a passport can be delivered to a traveler at an airport, including one who is already past security or in transit. Airports are the reason this service exists. Almost every emergency passport call involves one: a traveler turned away at check-in, a transit passenger whose passport stayed in a hotel two countries back, a family split across security with one document too few. The good news is that a courier can deliver to an airport as easily as to an office. The complication is the last hundred meters, because an airport is several buildings with different rules about who may go where.

This page explains the ways a handover can happen, what each one needs from you, and what to do with the airline while the passport is on its way.

The handover paths

Which one applies depends on where the traveler is, how the courier arrives and what that airport permits. Operations decides after reviewing the booking, and tells you.

Behind security, from a courier who flew in

When: The traveler is in transit or at a gate, and the courier arrives by air.

The case people expect to be hardest is often the simplest. A courier who flies in lands inside the secure area like any other passenger. At many airports they can walk to the transfer area or the gate and hand the passport over directly, against the traveler's name and boarding pass. Whether that works depends on how the airport separates arriving and departing passengers; operations checks it for your airport before the courier departs.

In the public area, before security

When: The traveler has not yet gone through security, or can come back out.

The courier meets the traveler at an agreed point: a named cafe, the airline's check-in desk, an information counter. The courier confirms the name, hands over the passport, records the handover. A traveler denied boarding at check-in is still in the public area, so this is the usual route for a passport left at home in the same city.

Via the airline

When: The traveler is at the gate or in a lounge, the courier comes by road, and the airline agrees to carry the passport through.

Some airlines will accept a document from a courier at the check-in desk and walk it to their passenger at the gate, particularly when the passenger is on their flight and the alternative is a no-show. This is airline policy, not a right. Operations asks; if the answer is yes, the handover to the agent is documented with the agent's name and the airline reference.

Via airport staff or a transit desk

When: The traveler is in a transit area and a direct handover is not possible.

Some hub airports have procedures for exactly this: a transfer desk or airport-operator staff who receive a document from the courier and deliver it to a named transit passenger against their boarding pass. Others have no such procedure and a transit passenger has to clear immigration to reach anything. Whether the second option exists depends on the traveler's nationality and that country's rules, which is precisely the problem when the passport is missing.

Via immigration or border authorities

When: The traveler is held at a border control point without a document.

Border officers can, at their discretion, accept a passport from a courier on behalf of a person in their care. Operations contacts the relevant authority and follows their procedure; the handover record then carries the officer's name, department and badge or reference number instead of a signature. Whether the traveler is then admitted is the authority's decision alone.

What we need from you for an airport delivery

  • The traveler's full name as it appears in the passport, and a phone number that works at that airport. Roaming that failed on landing is a common problem; a WhatsApp number or the airline lounge phone can help.

  • Airport, terminal, and whether the traveler is before security, at a gate, in a lounge or in a transit zone. If they do not know, ask them what they had to show to get where they are.

  • The flight they are trying to catch, or the one they arrived on. Operations uses it to talk to the airline and to judge whether the timing is realistic.

  • The passport itself, in an envelope the courier can open to check, with someone at the pickup address who can hand it over.

Timing, honestly

If the passport is in the same city as the airport, a courier can often collect it and be at the terminal within a few hours. That is enough for a flight later today or tomorrow. It is rarely enough for a flight boarding in two hours, once you count the drive, the airport transfer and the fact that the traveler still has to check in and clear security with the passport in hand. In that case the first call is to the airline to move the booking, and the second is to us.

If the passport is in another country, the courier is flying too, and the quote shows the arrival window. Europe to North America is often the same calendar day; the other direction is usually next morning. Meanwhile the traveler needs somewhere to wait. A hotel near the airport is usually cheaper than a night in a terminal, and it gives the courier a normal address to deliver to if the airport handover turns out not to be possible.

What to do with the airline while you wait

Tell them. A passenger who explains that their passport is arriving by courier at a given time is a passenger the airline can rebook onto a specific later flight, hold a bag for, or occasionally help with the handover at the gate. A passenger who just fails to appear is a no-show, and no-show fares are often forfeited. Ask specifically what the latest check-in time is for the rebooked flight, and give that time to us; operations plans the delivery against it.

If the traveler is stuck in transit without a passport, the airline that brought them in is usually responsible for them and will have a procedure. Ask for the station manager rather than the gate agent.

What a delivered passport does and does not do

It puts the document in the traveler's hand. It does not guarantee that the airline will board them, that a connection will be held, or that a border officer will admit them. Those decisions are made at the counter by the people whose job it is, and DocumentJet has no influence over them. We tell you this before you book, not after.

In many cases, yes. During booking, select “At an airport” under “Who should receive it?” and provide information about the traveler and their situation. Depending on the airport and local procedures, we may be able to deliver the passport directly to the traveler in the public area of the terminal, behind security or in the transit area, or to an airline representative, immigration or border authorities or airport personnel. Because our courier usually arrives by air, they are already behind security when they land, which often makes a direct handover possible. Access rules vary by airport and country, so the exact handover method is determined by our Operations Center. Can you deliver a passport directly to someone who is already in transit at an airport?

Often, yes. A courier who arrives by air lands inside the secure area and at many airports can hand the passport to a transit passenger directly. Where that is not possible, certain airports allow documents to be transferred through airline, airport, immigration or border-control personnel. Airport procedures vary, and DocumentJet cannot guarantee access to every area of every airport. Our Operations Center will determine the most appropriate handover method after reviewing the booking.

Who will my document be handed over to?

If you select Person as the recipient, we will normally hand the document only to the individual identified in your booking. If you want to authorize another person to receive it, please contact us before delivery. If you select Company, the shipment may be handed over to an authorized representative of that organization, such as reception, security, office or warehouse personnel. If delivery must be made to a specific individual, please tell us in advance. For hotel deliveries, please specify whether reception or concierge staff are permitted to accept the shipment. For airport deliveries, the document may be handed over to the named recipient or, where necessary and appropriate, to an airline, airport, immigration or border-control representative.

Will I receive proof of delivery?

Yes. We document the final handover. Depending on the circumstances, proof of delivery may include the recipient name, signature, photograph of the handover, delivery time and location or other confirmation appropriate to the recipient. Where lawful and appropriate, additional identity verification may be documented. If the document is handed to an authority or official representative, alternative confirmation such as the representative's name, department or badge/reference number may be recorded.

In many major cities, a flight courier can be at the pickup location within a few hours. The exact pickup timeframe depends on where the nearest suitable courier is located.
