Contract delivery for signed originals, closings and sealed-bid deadlines

DocumentJet carries signed contracts, closing documents and tender submissions internationally with a dedicated flight courier, from the signing party's office to the counterparty, closing agent or bid desk, and records the handover. It is for the agreements where an original signature page still has to be physically present, and for sealed bids with a fixed receipt time.

Electronic signature has removed most of the reasons a contract ever traveled. What is left is stubborn: a jurisdiction or a counterparty that requires wet ink, a lender who wants originals in the room, a public tender that specifies a sealed envelope at a named address by a stated hour, a notarial deed that exists only on paper. In these cases the document is the transaction, and the transaction has a time.

A courier who carries only your envelope is the tool for that, and this page is about using it well: which documents to send, how to time a closing across time zones, and what to tell the receiving side so the envelope reaches the right desk and not the post room.

Timing a closing across time zones

    Start from the closing call

    If the documents have to be in the room at 3 pm Frankfurt time on Wednesday, that is 9 am New York. Work back from there, not from when the signatures are dry.

    Read the quote in the recipient's time

    Enter both addresses. The delivery window is shown in the destination's local time. Europe to North America is often the same day; North America to Europe is next morning; a connection adds hours. If the window ends after the call, sign a day earlier or hold the closing.

    Book with the signatory as recipient

    Name the closing agent or counsel who must receive, with a direct number. Say whether their reception may sign. If the originals must be handed only to a specific person, say so; the courier will wait or call.

    Confirm, then stop worrying about the envelope

    Within about 30 minutes operations confirms the courier and flights and you receive the itinerary. If the arrival or price differs materially from the quote you can cancel free. After that, status updates follow the courier and disruption is handled by our 24/7 Operations Center.

Sealed bids and receipt deadlines

Tenders are the one case where the envelope must stay closed, while the courier may still need to check what is inside. The way to square that: put the bid in its sealed tender envelope as the authority requires, then place that envelope inside an outer envelope the courier can open. If the courier checks, they confirm the outer contents are paper and do not touch the seal. Tell us in the booking that the inner envelope is a sealed submission.

Bid desks record the receipt time to the minute and reject late arrivals without discussion. Give us the deadline and the exact desk or room. The delivery window shown before booking is what to compare against it; if the window is tight, the honest choice is to send a day earlier.

Who pays, and how it is invoiced

The booking asks who is arranging the delivery. A company sending its own documents chooses the sender as the customer; the person booking is then asked whether they contract in their own name or for the company, so the invoice is addressed correctly. A law firm or agent sending for a client enters itself as the customer with its own address. EU VAT-registered businesses enter their VAT number, which is checked against the register; where the reverse charge applies the invoice is issued without VAT. Payment is by card, charged only at confirmation. A purchase-order reference can go in the additional information field.

What is not part of the service

We do not witness signatures, notarize, obtain apostilles, hold documents in escrow or release them against conditions. The courier hands over to the person you name. If release should depend on something happening first, name a person you trust to receive and hold, and give them the conditions.

Questions people ask about this

Can I send multiple passports or documents in one DocumentJet shipment?

Yes, provided all items are permitted documents, have the same pickup and delivery locations and remain within DocumentJet's size and weight limits. For example, several passports belonging to members of the same family can generally be transported together in one booking. You must be lawfully authorized to arrange transportation of every passport or document included in the shipment.

Are there size or weight limits?

Yes. DocumentJet shipments are limited to ordinary paper documents with a maximum of 1,000 pages, 5 kilograms total weight and A4 or US Letter size. If your shipment exceeds these limits, please contact FLYTRIX for an individual quote.

Who will my document be handed over to?

If you select Person as the recipient, we will normally hand the document only to the individual identified in your booking. If you want to authorize another person to receive it, please contact us before delivery. If you select Company, the shipment may be handed over to an authorized representative of that organization, such as reception, security, office or warehouse personnel. If delivery must be made to a specific individual, please tell us in advance. For hotel deliveries, please specify whether reception or concierge staff are permitted to accept the shipment. For airport deliveries, the document may be handed over to the named recipient or, where necessary and appropriate, to an airline, airport, immigration or border-control representative.

How should I package my passport or documents?

A standard envelope or document envelope is normally sufficient. Please do not permanently seal or package the shipment in a way that prevents the courier from verifying the contents before accepting custody. The courier may need to inspect the contents for security and compliance purposes before the shipment begins. After inspection, the documents can be placed securely into the transport envelope or document bag used for the journey.
