These Terms & Conditions (“Terms”) govern all quotations, booking requests, transportation services and related services provided through DocumentJet.
1. The DocumentJet Service
DocumentJet provides time-critical transportation of passports and other permitted paper documents by dedicated flight courier.
A typical DocumentJet service involves a person collecting the document, traveling with it on one or more commercial passenger flights, and arranging personal handover at the destination.
DocumentJet is not an airline and does not operate aircraft. Commercial airlines transport the flight courier as a passenger. DocumentJet may use FLYTRIX affiliates, independent flight couriers, professional drivers, ground transportation companies, airlines and other service providers to perform the service.
DocumentJet is operated and contracted by FLYTRIX Americas LLC. Operational services may be performed or supported by FLYTRIX EMEA GmbH, other FLYTRIX affiliates, independent couriers and local service providers.
DocumentJet currently provides transportation primarily between different countries. Domestic DocumentJet transportation within a single country is not offered through the automated service, except in countries expressly designated by DocumentJet (currently the United States), where domestic transportation is available subject to the same requirements as any other route.
Because DocumentJet moves documents by flight courier on commercial passenger flights, DocumentJet does not offer very short routes. Routes shorter than a minimum distance between the collection and delivery locations (currently approximately 500 km / 300 miles) are not available through the automated service, except where an island state is involved (for example between Ireland and the United Kingdom), which cannot be reached by road. FLYTRIX may be able to arrange a local courier for other short routes.
2. Who May Book
You must be at least 18 years old and legally capable of entering into a binding contract.
You may book on your own behalf or on behalf of another person or organization if you are authorized to do so.
If the document belongs to another person, including a passport or identity document, you represent and warrant that you are authorized by that person, their legal guardian or another legally authorized person to arrange its transportation.
A parent or legal guardian may arrange transportation of a minor's passport or documents.
You must not use DocumentJet to obtain, transport, conceal, transfer or deliver a passport, identity document or other document without lawful authority.
3. Customer, Sender and Recipient
The person or organization entering into the contract with DocumentJet is the Customer.
The person or organization from whom the document is collected is the Sender.
The intended person, organization or authorized authority receiving the document is the Recipient.
These may be different persons.
You are responsible for ensuring that information you provide regarding the Sender and Recipient is accurate and that you are legally permitted to provide their personal information to us.
Where applicable, you must make the DocumentJet Privacy Notice available to any Sender, Recipient or other individual whose information you provide.
4. Permitted Documents
DocumentJet is designed solely for ordinary paper documents, including:
- passports;
- identity and travel documents;
- visa and immigration documents;
- birth, marriage and other civil-status certificates;
- legal and court documents;
- contracts and business documents;
- notarized documents;
- diplomas and certificates;
- corporate documents;
- tender documents; and
- similar ordinary paper records.
Unless DocumentJet expressly agrees otherwise, a shipment may contain a maximum of:
1,000 pages
5 kilograms total weight
A4 or US Letter size
Documents may be placed inside an ordinary envelope, document pouch or similar packaging.
5. Prohibited Contents
DocumentJet does not accept goods or merchandise through the automated service.
The following are prohibited:
cash; negotiable bearer instruments; jewelry; precious metals; electronic devices; medicines; drugs; weapons; ammunition; dangerous goods; samples; commercial merchandise; goods having customs value; controlled substances; unlawful material; stolen documents; counterfeit documents; forged documents; documents intended to facilitate fraud; classified information; export-controlled technical data requiring authorization; ITAR-controlled technical information; military or defense technical drawings; EAR-controlled technology requiring a license; and any information or material whose import, export, transfer, possession or disclosure requires governmental authorization that has not been obtained.
Further details are set out in Annex A — Prohibited Contents, which forms part of these Terms.
6. Inspection
You expressly authorize DocumentJet, FLYTRIX, its flight courier and its service providers to open any envelope, pouch or outer packaging and visually inspect the contents before or during transportation where reasonably necessary to verify that the shipment complies with these Terms.
You also acknowledge that airlines, aviation security authorities, customs authorities, police, border agencies, immigration authorities and other competent authorities may inspect the document or its packaging.
You must not package a shipment in a manner that makes lawful inspection impossible.
Inspection does not create an obligation for DocumentJet to identify every prohibited, unlawful or regulated item. You remain responsible for the legality of the contents.
7. Instant Quotes
An online DocumentJet quote is generated automatically based on information available to our pricing and ETA engine, including locations, geographic distance, expected courier availability, estimated airline costs and operational assumptions.
Unless otherwise stated, an instant quote is valid for 20 minutes.
After expiry, DocumentJet may require a new quote.
Quotes are linked to the origin and destination location submitted by the Customer. Material changes to the pickup or delivery city, postal area, country or other quote-critical information require a new quote.
The Customer must not manipulate, bypass, interfere with or attempt to reverse-engineer the DocumentJet quoting system.
8. Estimated Pickup and Delivery Times
Pickup windows are displayed in the local time of the origin.
Delivery windows are displayed in the local time of the destination.
These times are estimates based on DocumentJet's rule-based operational model and are not representations that a particular flight has already been booked.
The actual flight and routing are verified by FLYTRIX operations after booking.
The Customer expressly agrees that DocumentJet may finally confirm a Booking without requesting additional approval where the final estimated delivery time is no more than four hours later than the end of the original estimated delivery window.
Example: if the original delivery window ends at 4:00 PM destination local time, DocumentJet may confirm an estimated delivery time up to and including 8:00 PM without obtaining a new Customer approval.
A revised estimated delivery time more than four hours beyond the original delivery-window end requires Customer approval before final confirmation.
Earlier delivery, routing changes, airline changes, flight-number changes or pickup-time adjustments do not independently require Customer approval provided the price is not increased and the final estimated delivery remains within the permitted delivery tolerance.
9. Booking and Contract Formation
When you click “Book delivery”, you:
- submit a binding Booking Request for the service described;
- authorize DocumentJet to begin operational work immediately;
- authorize the payment amount shown;
- accept these Terms; and
- agree to the applicable cancellation rules.
DocumentJet immediately acknowledges receipt electronically.
The Booking is subject to DocumentJet's operational confirmation process described below.
DocumentJet may begin operational work immediately, including sourcing couriers, evaluating routing, contacting service providers and preparing transportation.
10. Payment Authorization
At Booking, DocumentJet normally places an authorization on your payment method for the quoted amount.
An authorization is not yet a final charge.
DocumentJet generally captures the authorized amount only after the Booking is operationally confirmed.
Your bank or card issuer may display the authorization as pending.
DocumentJet is not responsible for how long a card issuer takes to remove a released authorization.
11. Operational Confirmation
After Booking, the request is reviewed by FLYTRIX operations using current operational information and actual flight routing.
DocumentJet's service-level target is to provide final confirmation within 30 minutes after successful initial payment authorization.
If DocumentJet has not taken an operational decision within 24 hours after successful authorization, the Booking will automatically be cancelled.
In that event, DocumentJet will cancel or release the uncaptured payment authorization and send a cancellation confirmation.
12. Final Price
If the operationally verified price is equal to or lower than the original DocumentJet price, DocumentJet may confirm the Booking at the original agreed DocumentJet price.
A reduction in DocumentJet's actual or estimated operating cost does not reduce the price previously agreed by the Customer.
If the operationally required Customer price is higher than the authorized price, DocumentJet will not charge the higher amount without Customer approval.
Instead, DocumentJet will send a Confirmation Request showing the revised total and additional amount required.
13. Price or ETA Approval Requests
DocumentJet will request Customer approval where:
- the final required Customer price is higher than the amount originally authorized;
- the final estimated delivery time is more than four hours later than the end of the original delivery window; or
- both occur.
A single combined request may cover both a price and ETA revision.
The Customer normally has 60 minutes from the time the request is issued to accept the revised Booking.
If no acceptance is received within that period, DocumentJet may automatically cancel the Booking and release any uncaptured authorizations.
14. Additional Payment Authorization
If the Customer accepts a higher price, DocumentJet may request a second payment authorization for the difference.
Example:
Original authorization: $4,000
Revised total: $4,350
Additional authorization: $350
DocumentJet will confirm and capture payment only when all required payment authorizations remain valid.
If a required authorization expires, is declined, becomes unavailable for capture or otherwise fails, DocumentJet may cancel the Booking.
15. Payment Capture and Receipt
Once the Booking is finally confirmed, DocumentJet captures the applicable authorized amount or amounts.
The Customer will receive a Shipment Confirmation showing the confirmed routing and a payment receipt showing the Booking reference, the amount paid and the payment date.
Where applicable law requires a formal tax or VAT invoice, DocumentJet will provide one. Such invoices may initially be prepared manually.
16. Cancellation by the Customer
Because DocumentJet begins time-critical operational work immediately, Bookings are non-cancellable by the Customer after submission where DocumentJet is able to perform the service at the agreed price and within the delivery-time tolerance stated in these Terms, except where mandatory law provides otherwise.
The Customer may reject and cancel a Booking when DocumentJet requests approval for:
- a higher price; or
- an estimated delivery more than four hours beyond the original delivery-window end.
No statutory right of withdrawal. A DocumentJet Booking is a contract for the transportation of goods (documents) with a specific pickup and delivery period. Under Article 16(l) of Directive 2011/83/EU and the national laws implementing it (in Germany § 312g(2) No. 9 BGB), consumers therefore have no statutory right of withdrawal from a Booking. Other mandatory consumer rights are not affected.
17. Cancellation by DocumentJet
DocumentJet may cancel a Booking where reasonably necessary, including if:
- no compliant routing can be secured;
- no suitable courier is available;
- payment authorization fails;
- the Customer fails to approve revised terms within the permitted period;
- the shipment contains or appears to contain prohibited material;
- information provided by the Customer is inaccurate or misleading;
- performance would violate law, sanctions or governmental restrictions;
- a competent authority prohibits carriage;
- a material security concern exists; or
- DocumentJet cannot operationally accept the shipment.
Where payment has not yet been captured, the authorization will ordinarily be released.
If funds have already been captured and DocumentJet cancels before material performance for reasons not attributable to the Customer, DocumentJet will provide the refund required by applicable law and these Terms.
18. Pickup
The Customer must ensure that the shipment is ready for collection during the confirmed pickup period and that the courier or driver can reasonably access the pickup location.
The Sender must be reachable using the contact information supplied.
Additional delays caused by inaccessible buildings, unavailable Senders, inaccurate addresses, security restrictions or incorrect instructions may affect timing and may require revised arrangements.
Failed pickup. If the courier cannot collect the shipment within the confirmed pickup period for reasons attributable to the Customer or the Sender (for example because the Sender is not present or cannot be reached, the shipment is not ready or is not handed over, or the address or access information is wrong), DocumentJet will try to contact the Sender and the Customer. DocumentJet may then, at its discretion:
- wait or make a further collection attempt and charge the reasonable additional costs this causes, such as waiting time, rebooked or additional flights, ground transportation and accommodation; or
- cancel the Booking.
If DocumentJet cancels the Booking for this reason, the agreed price remains payable, less any costs DocumentJet saves as a result of the cancellation.
Where reasonably possible, DocumentJet tells the Customer the expected additional costs before incurring them.
In either case the estimated pickup and delivery times no longer apply and are replaced by new estimates. Section 13 does not apply to price or time changes caused by a failed pickup.
19. Delivery
DocumentJet will deliver the document to:
- the designated Recipient;
- an expressly authorized representative;
- a company contact identified in the Booking;
- an airline representative;
- airport personnel;
- police, border, customs or immigration authorities; or
- another person or authority expressly authorized by the Customer or required by law.
DocumentJet will not intentionally deliver to an unrelated third party merely for convenience.
A delivery is complete when custody has been transferred in accordance with the confirmed handover instructions or lawful instructions of competent authorities.
Failed delivery. If the document cannot be handed over at the destination for reasons attributable to the Customer or the Recipient (for example because the Recipient is not present or cannot be reached, refuses to accept the document, cannot show the authorization or identification required for the handover, or the delivery details are wrong), DocumentJet will try to contact the Recipient and the Customer. DocumentJet may then, at its discretion, wait, make a further delivery attempt, hand the document to another recipient authorized by the Customer, hold it in safe custody or return it to the Sender.
The agreed price remains payable. The Customer pays the reasonable additional costs caused, such as waiting time, rebooked or additional flights, ground transportation, accommodation, storage and return transport. Where reasonably possible, DocumentJet tells the Customer the expected additional costs before incurring them. The estimated delivery time is extended accordingly, and Section 13 does not apply to such changes.
20. Airport Delivery
Where Airport Delivery is selected, DocumentJet may arrange handover to a traveler, airline, airport representative, border authority, immigration authority, police officer, transit-hotel representative or other approved recipient.
The Customer acknowledges that flight couriers may not have access to every secure or sterile airport area.
Accordingly, a handover may need to occur through an airline, airport employee, border agency or other intermediary.
A handover completed in accordance with the confirmed instructions is deemed completed delivery.
The Customer should provide all available information about the traveler, terminal, airline, flight and circumstances, but airline and flight number are not mandatory at Booking.
21. Airlines, Routes and Subcontractors
DocumentJet has discretion to select and change airlines, flight routings, transfer airports, flight couriers, drivers and other providers.
An itinerary shown in the Shipment Confirmation represents the planned itinerary at that time.
Airline schedules and operations may subsequently change.
DocumentJet may make reasonable routing changes without further approval where they do not require a higher Customer price and do not materially alter the service beyond the agreed terms.
22. Delays and Events Outside Our Control
DocumentJet provides a time-critical service but does not control commercial airlines, airports, governments or transportation infrastructure.
Delays or disruptions may result from:
- flight cancellation or delay;
- missed connection;
- weather;
- air traffic control;
- airport closure;
- mechanical disruption;
- airline rebooking;
- security procedures;
- customs, immigration or border controls;
- strikes;
- civil disturbance;
- war or terrorism;
- governmental orders;
- public-health restrictions;
- natural disasters;
- communications or technology outages; or
- other circumstances beyond reasonable control.
After final confirmation, estimated pickup and delivery times remain estimates.
DocumentJet will use commercially reasonable efforts to complete the delivery as quickly as practicable.
Unless mandatory law requires otherwise, a delay caused by circumstances outside DocumentJet's reasonable control does not automatically entitle the Customer to a refund, service credit or consequential compensation.
23. Customer Responsibilities
The Customer is responsible for:
- providing complete and accurate information;
- obtaining all authority required to transport the document;
- ensuring lawful possession of the document;
- complying with applicable import, export, sanctions, privacy and document-control laws;
- ensuring that the document contains no prohibited material;
- providing accurate Sender and Recipient details;
- keeping required contacts reachable;
- reviewing Booking information before submission; and
- promptly notifying DocumentJet of material changes.
24. Export Controls and Sanctions
DocumentJet does not accept controlled technical information or other material whose export, transfer or disclosure requires a governmental license unless DocumentJet has expressly agreed in writing after appropriate review.
DocumentJet may screen the Customer, payer, Sender, Recipient, organizations and other transaction parties against sanctions and restricted-party lists.
DocumentJet may refuse or cancel any transaction that it reasonably believes could violate sanctions, export-control, anti-money-laundering, customs, aviation-security or other applicable laws.
25. U.S. Extremely Urgent Letters
Where a qualifying shipment to or from the United States is carried pursuant to the extremely urgent letter rules, the Customer authorizes DocumentJet and FLYTRIX to place required legends and identifying information on the outer envelope or container, including wording such as:
“EXTREMELY URGENT — PRIVATE CARRIAGE AUTHORIZED BY 39 CFR 320.6.”
The Customer also authorizes DocumentJet to maintain pickup and delivery records required for compliance.
26. Taxes
The price presented by DocumentJet includes taxes that DocumentJet determines must be collected from the Customer based on information available at checkout.
For qualifying intra-EU consumer transactions, VAT may be applied based on the applicable departure-country rules.
A valid EU VAT-registered business may receive applicable B2B or reverse-charge treatment after successful VAT-ID validation.
The Customer must provide accurate tax information.
By entering a VAT ID, the Customer confirms that it is booking on behalf of the VAT-registered business to which that VAT ID belongs and that it is authorized to do so.
If a VAT ID is invalid or cannot be verified, DocumentJet may apply the applicable non-validated-customer tax treatment.
27. Privacy
Personal information is processed in accordance with the DocumentJet Privacy Notice.
DocumentJet intentionally minimizes collection of passport and identity-document information.
Unless specifically required, Customers should not enter passport numbers, identification numbers, dates of birth or document scans into free-text fields.
28. Communications
The Customer agrees that DocumentJet may send transactional communications relating to the Booking by email, phone or other contact methods supplied.
These communications may include:
- Booking Received;
- Shipment Confirmation;
- Confirmation Request;
- Cancellation Confirmation; and
- operational communications reasonably necessary to perform the service.
Transactional communications are not marketing.
29. No Guarantee of Travel, Immigration or Legal Outcome
DocumentJet transports documents.
DocumentJet does not provide immigration advice, visa advice, legal advice or a guarantee that any government, airline, border agency or other authority will accept a document or permit a person to travel.
Delivery of a passport or other document does not guarantee boarding, admission, visa issuance, immigration clearance, court acceptance or any other legal result.
30. No Insurance of Consequential Losses
DocumentJet is not an insurer of the Customer's travel plans, business transaction, immigration status or other consequences associated with the document.
Customers should maintain appropriate travel, business or other insurance where such risks are material.
31. Liability
Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited, including liability for fraud, willful misconduct or other liability that applicable law requires to remain unlimited.
To the maximum extent permitted by law, DocumentJet is liable only for direct loss caused by its failure to exercise reasonable care in providing the contracted service.
To the maximum extent permitted by law, DocumentJet is not liable for indirect, incidental, special, exemplary or consequential loss, including:
- missed flights;
- replacement travel;
- hotels;
- lost vacation time;
- loss of business;
- lost profits;
- missed contractual opportunities;
- penalties owed to third parties;
- immigration consequences;
- visa consequences;
- loss of reputation; or
- other losses arising from the timing or outcome of use of the document.
To the maximum extent permitted by applicable law, DocumentJet's aggregate liability arising from a particular Booking will not exceed the amount paid to DocumentJet for that Booking.
This limitation does not apply where prohibited by applicable consumer law or other mandatory law.
32. Loss or Damage to a Document
DocumentJet is liable if a document is lost or physically damaged while in DocumentJet's custody as a result of DocumentJet's failure to exercise reasonable care.
If a document is lost or damaged, please notify DocumentJet as soon as possible so that it can investigate.
DocumentJet may reasonably request evidence of the loss, replacement cost and circumstances.
Documents generally have no commercial merchandise value, and DocumentJet does not accept declarations of speculative, sentimental or consequential value.
Any liability remains subject to Section 31 and mandatory law.
33. Claims
Customers should notify DocumentJet of any complaint or claim as soon as reasonably possible.
For operational investigation purposes, we request notice within 30 days after delivery or the date on which delivery should reasonably have occurred.
This request does not shorten any mandatory statutory limitation period.
34. Business-Customer Indemnity
If the Customer acts in the course of business, the Customer will indemnify FLYTRIX, its affiliates and service providers against reasonable losses, penalties, claims and expenses arising from:
- unlawful contents;
- lack of authority to transport a document;
- inaccurate customs/export declarations;
- infringement of third-party rights;
- sanctions or export-control violations caused by Customer-supplied information or contents; or
- materially false information provided by the Customer.
This Section applies only to the extent permitted by law.
35. Website and API Misuse
You may not:
- scrape or systematically extract DocumentJet prices;
- run automated quote grids;
- reverse-engineer pricing rules;
- circumvent rate limits;
- bypass security or access controls;
- use bots to obtain large volumes of quotes without permission;
- probe non-public APIs;
- interfere with service availability; or
- use quote information to build a competing pricing database.
DocumentJet may throttle, challenge, suspend or block access reasonably believed to involve abuse.
36. Intellectual Property
DocumentJet, FLYTRIX, associated branding, website content, pricing logic, software, database structure and related materials are protected by applicable intellectual-property laws.
No rights are granted except the limited right to use the service for legitimate Booking purposes.
37. Governing Law
Except where mandatory consumer law provides otherwise, these Terms and any dispute arising from them are governed by the laws of the State of California, without regard to conflict-of-law principles.
Subject to mandatory consumer jurisdiction rights, courts located in Los Angeles County, California will have jurisdiction.
Consumers retain any mandatory protections and rights that cannot lawfully be waived under the law applicable to them.
38. Changes to These Terms
The version of the Terms accepted at the time of Booking governs that Booking.
DocumentJet may update these Terms for future Bookings.
Historical accepted versions will be retained for audit and contract-record purposes.
39. Severability
If a provision is found invalid or unenforceable, the remaining provisions remain effective to the maximum extent permitted by law.
40. Entire Agreement
These Terms, including Annex A, the confirmed Booking and any expressly incorporated policies constitute the agreement between the Customer and FLYTRIX Americas LLC concerning the DocumentJet service.

Annex A — Prohibited Contents
A1. Documents only
The automated DocumentJet service accepts ordinary paper documents only, within the limits stated in Section 4 (1,000 pages, 5 kilograms, A4 or US Letter size).
Accepted examples include passports, identity and travel documents, visa and immigration papers, birth and marriage certificates, court and legal papers, contracts, notarized records, company documents, tender documents, diplomas, certificates and similar paper records.
A2. Goods
A shipment must not contain:
- commercial goods, samples or merchandise;
- electronics;
- keys;
- jewelry, watches or precious metals;
- medicines or medical products;
- food;
- currency or gift cards;
- bearer securities or negotiable instruments having monetary value; or
- any other goods with commercial or customs value.
For urgent goods, please contact FLYTRIX for its regular time-critical logistics service.
A3. Dangerous or illegal material
A shipment must not contain weapons, ammunition, explosives, dangerous goods, narcotics, controlled substances, counterfeit, forged or stolen documents, unlawful material, or any item prohibited by aviation, customs or criminal law.
A4. Controlled information
The automated DocumentJet service must not be used for:
- classified information;
- ITAR-controlled technical data;
- EAR-controlled technology requiring authorization;
- controlled military or defense documentation;
- export-controlled source code printed on paper;
- nuclear, missile, chemical or biological controlled technical data; or
- any information requiring a license or authorization that has not been obtained.
A5. Passports and identity documents
Passports and identity documents may be transported only with lawful authority.
DocumentJet must not be used to traffic identity documents, conceal stolen passports, impersonate another person, facilitate unlawful migration, evade authorities, circumvent surrender requirements or commit fraud.
A6. Inspection, refusal and cancellation
Inspection is governed by Section 6. DocumentJet may refuse, suspend or cancel a shipment where its contents violate this Annex or applicable law, or create a material security concern (Section 17).
